eXp Realty Virtual Assistant: What eXp Teams Need to Know (2026)
Oct 15, 2026
eXp Realty has no branch offices. Agents and teams work from wherever they are, and that suits a virtual assistant well: the team already works remotely, so adding a remote operations person changes very little about how the day runs. This guide covers what eXp teams usually hand off, which tools matter, what to confirm with your broker first, and what it costs.
Why eXp Teams Are a Natural Fit for Virtual Assistants
On a cloud-based brokerage, you build your own back office. A team that closes 5 deals a month and a team that closes 50 both need someone to prepare listings, chase documents, keep the CRM clean and report on what is working. Many teams reach the point where the team lead is doing that work in the evenings.
A virtual assistant takes that work over without adding an office, a desk or a payroll line. A full-time in-house employee costs $4,254–$6,020 per month once salary, taxes, benefits and overhead are counted. ERS clients report an average saving of $3,100 per month compared with their previous in-house staffing.
What eXp Teams Typically Delegate
ERS organizes its work into four service categories, and every plan includes all four. The 29 standard tasks across them are a starting point, not a ceiling. If your team has its own workflow, we train on it once and own it permanently.
Listing coordination. Listing documentation, CMA and equity analysis, MLS listing management and activation, price changes, lockbox and showing setup, vendor coordination and showing feedback. See listing coordination services.
Transaction coordination. Contract-to-close management, compliance review and submission, attorney and lender coordination, inspections, utility transfers, final walkthrough coordination and closing communication. See transaction coordination services.
CRM and operations support. CRM updates, transaction file management, referral partner tracking, commission tracking and notes. See CRM and operations support.
Scorecards and reports. Lead generation, agent performance, listing performance, buyer pipeline, transaction, financial and referral reports, and an executive dashboard, delivered on a schedule. See scorecards and reports.
What to Confirm With Your Broker Before You Delegate
Every brokerage sets its own rules, so check these with your broker or compliance contact before you hand over work. We do not assume eXp's requirements for you.
- Where documents must live. Ask where transaction files have to be stored and who may have access, so your VA is given the right permissions from day one.
- What compliance needs. Ask what must be submitted, by when and in what form. Your VA can prepare and submit within your process, but you need to know the process.
- Who can speak to clients. An unlicensed assistant should stay with administrative tasks. ERS carries no legal transaction coordinator liability, and the agent or broker keeps legal responsibility. Licensing rules differ by state, so confirm yours.
- Which accounts you can share. Decide which logins your VA needs and set them up with your own access controls.
Tools Your VA Should Already Know
ERS VAs log in and work inside your existing systems. They are used to the tools real estate teams run on, including these:
- CRMs: Follow Up Boss, Lofty, BoomTown, CINC, Zoho, HubSpot, Top Producer and Real Geeks
- Forms and e-signature: DocuSign, Zipforms and Lone Wolf Transact
- Transaction management: Dotloop, SkySlope, Brokermint and Paperless Pipeline
- Showings and projects: ShowingTime, SentriLock, Supra, Trello and Monday.com
If your team uses something that is not on the list, tell us before the first week. We learn it once, document it, and keep it.
Real Example: Ryan & Brian Team, eXp Realty
The Ryan & Brian Team in McAllen, Texas, is an eXp Realty team and has worked with ERS since 2019. Brian Reed, Broker and CEO, says: "By far the best virtual assistance company we have worked with and the only one we work with now." Read the full case study or see all client reviews.
How Much Does a VA Cost for an eXp Team?
ERS charges one monthly price per plan, with all four service categories included. There is no setup fee and no contract, and you can cancel anytime.
| Plan | Hours | Monthly cost | Best for |
|---|---|---|---|
| Micro-Time | 40 hrs | $547 | One agent or a small team starting out |
| Part-Time | 80 hrs | $1,047 | Listing and transaction support for a growing team |
| Full-Time | 160 hrs | $1,997 | Full operations support for a busy team |
| Hourly | As needed | $15/hr | One-time projects |
Not sure how many hours you need? Use the VA Hours Calculator on the ERS homepage, or see the full pricing page.
How Fast Can a VA Start on an eXp Team?
ERS keeps a bench of virtual assistants who are already recruited, vetted, DISC-tested and trained. We do not recruit after you sign up. Most common tasks are up and running within a week. If you have client-specific workflows, they can take longer, and we train on each one once.
A simple start: pick two or three tasks in week one, such as listing documentation and file checks. Add the rest once those run without correction.
Frequently Asked Questions
Can an ERS VA work inside the tools my eXp team already uses?
Yes. ERS VAs log in and work inside your existing systems, so your team does not learn new software.
Does a virtual assistant need a real estate license?
Not for administrative work. ERS performs administrative tasks only, carries no legal transaction coordinator liability, and leaves legal responsibility with the agent or broker. Licensing rules vary by state, so check yours.
Will ERS speak to my buyers and sellers?
On transaction coordination, no. ERS works behind your in-house TC with no direct buyer or seller contact, handling drafting, prep, admin and tracking. If you have no in-house TC, ERS can act as your virtual TC. Listing coordination and reports have no such limit.
How many hours does my team need?
A common starting point is the 40-hour Micro-Time plan, then moving up as more work is handed over. The VA Hours Calculator on our homepage gives an estimate from your deal volume.
Is there a setup fee or a contract?
No setup fee and no contract. You pay your monthly plan and can cancel anytime.
What if my team has its own way of doing things?
The 29 standard tasks are a starting point. We train on your workflow once and own it permanently, so a team change does not mean starting over.
